Position Overview
The General Service (Receptionist) position combines front desk management, administrative coordination, customer service, and operational supervision. The employee will be responsible for creating a welcoming atmosphere, coordinating office activities, supporting reception staff, and helping improve customer satisfaction through efficient service delivery.
In addition to handling reception duties, the successful candidate will assist management with administrative responsibilities, maintain office records, supervise daily reception activities, and contribute to the company's marketing efforts.
Educational Qualifications
- Bachelor's Degree in Customer Service, Business Management, Marketing, or another related field.
- Equivalent educational qualifications related to hospitality or business administration may also be considered.
Required Experience
- Minimum of four (4) years of relevant professional experience in the hospitality industry.
- At least one (1) year of supervisory or leadership experience.
- Experience working in hotels, guest houses, serviced apartments, or customer service environments is an added advantage.

Key Duties and Responsibilities
Reception & Front Office Services
- Welcome visitors, customers, guests, and business partners in a professional and friendly manner.
- Direct visitors to the appropriate departments or employees.
- Answer telephone calls and respond to email inquiries promptly.
- Maintain office calendars and coordinate meeting schedules.
- Prepare meeting rooms when required.
- Keep reception areas, offices, and guest rooms clean, organized, and presentable.
- Monitor trainee attendance and promote workplace punctuality.
Administrative Support
- Maintain accurate office records and documentation.
- Organize files and safeguard confidential information.
- Monitor office supplies and coordinate replenishment.
- Support management with routine administrative activities.
- Facilitate smooth communication between departments.
Marketing & Operations
- Encourage guests to leave online reviews after checkout.
- Create and publish promotional content on social media platforms.
- Supervise reception staff and provide operational guidance.
- Maintain records of guesthouse assets, office equipment, and reception supplies.
- Respond promptly to customer complaints and suggestions.
- Recommend practical solutions to improve customer satisfaction.
- Carry out additional responsibilities assigned by the immediate supervisor.
